Refund Policy – Axis AI Systems Pty Ltd

Axis AI Systems Pty Ltd (“Axis AI Systems”, “we”, “us”, “our”) provides AI development and automation services, including chatbot development, AI voice agents, and custom AI system solutions.
This Refund Policy outlines when refunds may be provided in accordance with Australian Consumer Law (ACL).
1. General Refund Policy (Services)
Because our services involve custom development work, refunds are generally not provided once:
- Strategy sessions have commenced
- Development work has begun
- Any customised assets, scripts, prompts, or AI workflows have been delivered
You are purchasing a professional service, not a digital product.
2. Refund Eligibility Under Australian Consumer Law
We will provide a refund ONLY where required under ACL, including:
- A major failure in the service that prevents the intended purpose
- The service was not provided with reasonable care or skill
- You were charged incorrectly due to an error on our part
Refunds are not provided for:
- Change of mind
- Choosing a service that does not suit your business
- Incorrect information provided by the client
- Misuse or failure to follow onboarding instructions
- Delays caused by the client
3. Deposits & Upfront Payments
All deposits and upfront service fees are non-refundable, as they secure development time, technical resources, and project planning.
4. Subscription or Monthly Retainer Services
For ongoing retainers or support packages:
- No refunds are issued for past billing periods
- Clients may cancel anytime with 14 days written notice
- Services continue until the end of the paid period
5. Project Cancellation by the Client
If a client cancels a project after work has started:
- No refund will be issued
- Any completed work to date may be provided to the client upon request
6. Project Cancellation by Axis AI Systems
If we cancel a project due to unforeseen circumstances, we will:
- Refund any portion of the service not yet delivered
- Provide documentation or assets already created
